People, teams and roles

's directory is your server's own list of people, with the details an organisation needs. Owners and admins look after it in Settings, under .

The directory

Settings › Directory lists everyone, with their job and who they report to. Search by name, job or email.

Choose someone to change their Job title, Reports to, Phone and Employee ID, the one from your HR or payroll system. Admins can also change their Email address and turn their account off, which signs them out everywhere. The owner's and admins' email and accounts are changed in Settings › People instead.

Add someone

  1. In Settings › Directory, choose Add someone.
  2. Enter their Name. A Username is suggested from it, their first initial and surname, like asmith.
  3. If you like, add their own Email address, where Solel sends their set-up link, and their Job title and who they report to.
  4. Under Their password, choose They choose it, from a set-up link, or I choose a first password of at least 10 characters.
  5. Choose Add.

A set-up link works once, for a week. Until they use it, they show as Not set up yet, and you can make a new link from their page.

Everyone added here joins as a member. Make someone an admin in Settings › People; see People: adults, children and guests.

Teams

Settings › Teams shows your teams, with the teams inside them. Someone in a team is in every team above it.

  1. Choose New team.
  2. Give it a Name, and choose what it sits Inside, if anything.
  3. Add a Team email if it has one, like design@example.com.
  4. Under Signing in, you can ask everyone in it, and in the teams inside it, for A password and a second step or A passkey. Anyone without one is asked to set it up the next time they sign in.
  5. Tick the people in it, then choose Make team.

Deleting a team keeps its people. Any teams inside it move to the top.

Admin roles

Settings › Admin roles lets members do part of running the organisation, for everyone or for certain teams and the teams inside them. Three roles come with it:

  • People admin adds people, changes their details, and handles leavers.
  • Helpdesk gets people back in: a new password link, a two-factor and passkey reset, and signing them out everywhere.
  • Auditor reads the directory and the audit log, and exports it. It changes nothing.

Choose Give someone a role, then pick who, which role and who it covers. Only members can have one.

Someone in a role opens from the dock and chooses People you look after. A role never covers the owner, admins, anyone with a role, or the person themselves. It never changes roles or email addresses, turns accounts on or off, or reads anyone's mail or files.

A role works on the authority of the admin who gave it. If that admin stops being one, the role stops working until someone gives it again.
