Leavers and the audit log

When someone leaves, turns off everything of theirs at once, at the time you choose, and hands what they leave behind to someone else. The audit log records it, along with every other sign-in and change.

Arrange someone's leaving

  1. Open Settings › Directory and choose the person.
  2. Choose … is leaving…, with their name.
  3. Choose the last moment they can sign in: Right now, the end of the working day (17:00, or the next weekday's), or Pick a time within the next year.
  4. Choose whether to Remove their passkeys and two-factor. It's on to begin with.
  5. Choose how long to Keep their mailbox: 30, 90 or 180 days, or a year.
  6. Choose who New mail to them goes to, and change the Automatic reply if you like. Leave the reply empty for none.
  7. Choose who Their files go to, or Keep them where they are.
  8. Choose They leave now, or Schedule their leaving.

If they have a manager, the manager is picked for their mail and files to begin with. Until the time comes nothing changes, and Call it off on their page cancels it. Someone with the People admin role can arrange leaving too.

What happens then

All at once:

  • Their account is turned off, and they're signed out of every server and app.
  • Their accounts in apps that sends people to are turned off.
  • Their mailbox stops sending but keeps every message, comes off their teams' addresses, and passes new mail on with the reply. The person getting it may be asked by email to confirm. When the time you chose is up, the mailbox goes. Its address keeps passing mail on if someone gets their mail, and is freed if not.
  • Their files move to the person you chose, into a folder named after them. With Keep them where they are, nobody can open them until someone takes them over.

Anything that couldn't be handed over shows on their page in Directory. While their mailbox is kept, Bring … back turns their account and mailbox on again. Files already handed over stay where they went.

Owners and admins can't be made to leave here. Change their role in Settings › People first.

The audit log

Settings › Audit log shows what happened in the organisation, newest first: sign-ins to Solel and to the apps that use it, changes to the directory, accounts opened and closed in apps, admin roles, servers joining and leavings.

  • When picks today, the last 7, 30 or 90 days, or the last year.
  • Show picks Everything, Sign-ins, Directory, Apps, Mail or Refused.
  • Search matches people, apps and addresses.
  • Choose an entry to see all of it, including whose authority someone in a role used.
  • Export saves what the filters show, as a spreadsheet file (.csv) or JSON lines (.jsonl) for another tool.

Nobody can change or remove an entry. At most 5,000 show at once, so choose fewer days to see older ones. 's own entries are kept for a year. 's are in its own activity log too; see Activity.

Owners and admins see everything. Someone with the Auditor role opens the audit log from Work apps, and sees what's about the people their role covers.
